The FFJDA extranet concentrates nearly all administrative flows of a club: licenses, grade advancements, competition entries, monitoring of instructors. Each season, the same blockages arise, often related to a lack of knowledge of recent workflows rather than a flaw in the tool.

Pre-registration Workflow and Club Validation on the FFJDA Extranet

The new extranet introduces a double level of pre-registration/validation that fundamentally changes the registration chain for competitions and grade advancements. The license holder (or their legal representative) initiates the process from their personal space. Final validation remains the responsibility of the club or the designated instructor.

This mechanism has a direct consequence on internal organization: the club’s extranet manager must regularly check the validation module, or risk having registrations expire. We recommend setting up email notifications as soon as the season opens, as the system does not automatically send reminders.

On the grade management side, the logic is the same. A candidate for grade advancement who is pre-registered without club validation before the deadline will have their application rejected. Clubs that centralize this task under a single leader take a risk: in case of absence, no one validates. Granting secondary access to a qualified instructor resolves the issue without multiplying administrator profiles.

Being able to master the Judo FFJDA extranet on this specific point avoids last-minute invalidations, which remain the primary source of disputes between clubs and departmental committees.

Digital Payments: Event Payment Configuration

Event payment is now operational in the extranet. Clubs settle entries for tournaments, training sessions, and grade advancements directly from the platform, by credit card. France Judo announces the gradual addition of bank transfers and direct debits as complementary methods.

The configuration for automatic refunds is set by the organizer. A club organizing a tournament can define refund conditions (deadline, reason) without manual intervention. This requires correctly entering the club’s bank details in the organizer’s space settings, a field often left empty by default.

For treasurers, the change is clear: checks and manual transfers are gradually disappearing from the competition circuit. We observe that clubs that have not yet activated digital payments lose the ability to enter their judokas in certain regional events that already require digital payment.

Checks to Perform at the Start of the Season

  • Ensure that the club’s bank account details are up to date in the “Bank Details” tab of the extranet, as an outdated IBAN blocks incoming refunds
  • Activate payment notifications so that the treasurer receives a summary for each validated transaction
  • Test an entry for an internal or departmental event before the first regional deadlines, to identify any potential card or limit blockages

Management of Licenses and Medical Certificates in the Judo Extranet

Entering licenses remains the core of the extranet, but this is also where mistakes are most costly. A duplicate license skews the federal accounting and can lead to a rejection during a regional league audit. The problem typically arises during a transfer: the receiving club creates a new profile instead of retrieving the existing profile via the license number.

The correct procedure involves searching for the license holder in the federal database before any creation. If the judoka appears linked to another club, the transfer request should be initiated from that search result, not from the new license form.

Medical Certificates and Health Declarations

The extranet distinguishes between two cases: renewal (declaration on honor in most situations) and first license (medical certificate required). The type of document to provide depends on the license holder’s status in the database, not the club’s decision. A responsible person who uploads a medical certificate while the system expects a declaration on honor will see the application blocked pending manual processing by the committee.

We recommend checking the status displayed in the license holder’s file before requesting a document from the practitioner. The “Expected Document Type” field appears at the top of the registration form and avoids unnecessary back-and-forth.

Access Rights and User Roles on the FFJDA Club Extranet

Managing access rights is the most underestimated point. An incorrect identifier can block access to the club for several weeks, while the departmental committee processes the reset request. The problem worsens when a single leader holds the access and leaves their position without passing on the identifiers.

The extranet allows for the creation of multiple profiles with distinct levels of rights: club administrator, instructor, treasurer. Each role provides access to specific modules without exposing all of the club’s data.

  • The administrator profile manages licenses, transfers, and club settings (contact details, time slots, site)
  • The instructor profile accesses pre-registration validations, grade advancements, and technical monitoring of license holders
  • The treasurer profile views payments, financial commitments, and refunds without being able to modify sports data
  • The same leader can hold multiple roles, but we advise against concentrating all access on a single account

During the renewal of the association’s board, the transfer of extranet access should be included in the minutes of the general assembly just like the handover of accounting documents. Without this transmission, the new board starts from scratch with a recovery procedure that involves the departmental committee.

The real time savings on the FFJDA extranet do not come from a miracle feature, but from rigorous configuration at the beginning of the season and a clear distribution of roles. Clubs that address these points as early as September avoid the majority of blockages reported to committees between October and December.
